Send the model before requesting a softener visit
For a softener service request, record the make and model, visible message or symptom and last service date. Tell the provider whether the home uses public water or a private well. Ask what the visit covers and require approval before parts are added. Keep mechanical findings separate from water-test results.

Compare the installed system, not the tank alone
A softener replacement proposal should identify the sizing assumptions, exact equipment, connection alterations, removal and setup. Ask who supplies operating instructions and which maintenance services are optional. Keep the accepted proposal and test records with the home’s equipment information.
